What does Outsourcing Angel do?

Outsourcing Angel is a concierge-level outsourcing agency that specialises in recruiting reliable and long-term offshore staff, mainly based in the Philippines.

We do end-to-end outsourcing, which includes hiring, onboarding, project managing, upskilling, HR, payroll and disruption or replacement cover.

This means that all you need to do is tell us what you need to outsource and we will find the most reliable offshore staff for the job—so you can focus on the more important tasks, while we handle the rest!

How does it work?

Here’s how our process goes:

Book a free Discovery Call: Have a chat with our Outsourcing Specialist and give us an overview of the task that you need outsourcing, as well as what you’re looking for in an offshore staff. We’ll craft the job description you need.

Package Selection: Our Outsourcing Specialist will provide recommendations about the type of offshore staff you might need and the packages available to you:

  • Recruitment-only package (one-time fee)
    Best for businesses that want full control over their offshore staff but need expert-level recruitment.
  • Full Outsourcing Angel Experience
    Best for businesses that want to scale confidently, without the stress of managing offshore staff.
  • Angel Training Program
    Best for businesses that already have offshore staff but want to improve their skills and productivity (included in the Full Outsourcing Angel Experience package).

Onboarding: Our Operations Officer will take you through the client onboarding process so that you have the best tools to work efficiently and effectively with your offshore staff.

Recruitment: Once everyone is clear on the requirements for the offshore staff role, we will start interviewing candidates who meet your requirements and create a shortlist of options for you. This process usually takes around 1–2 weeks.

Interview: Once the shortlist has been created, you have 2 weeks to review and approve the applicants you would like to interview. We always recommend our clients have at least a video conference call with the offshore staff candidate when reviewing them for the job.

Hiring: When you’re ready, we will hire the offshore staff and take them through onboarding, orientation and set-up. We formally introduce them to our team and yours and help set up all the expectations between you so that everyone is on the same page.

Time to hit the road! From here on, you will start working with your offshore staff with the support of Outsourcing Angel. We’ll assist you in the initial “nesting period” to avoid any miscommunications or misunderstandings.

Our team will also have regular meetings and performance reviews and provide company benefits for your offshore staff to ensure their happiness and to get all your tasks done the way you want them.

Do you service clients outside of Australia?

Yes, we do! While most of our clients are based in Australia and New Zealand, we also have clients from the USA, UK and other parts of the world.

When we start working with a client, we find offshore staff who can work during the client’s preferred timezone in any country. All you have to do is tell us your preferred working hours so we can help you find a suitable offshore staff.

Where are the offshore staff based?

Most of our offshore staff are from the Philippines but some reside in countries like Indonesia and other East Asian countries.

We enjoy working with offshore staff in these countries because of their similar timezone to Australia which is where most of our clients are based.

Our Customer Support Team and Management Team are also based in Melbourne and Sydney, Australia.

Full-Time vs Part-Time Offshore Staff

A Full-Time offshore staff works 40 hours per week whereas a Part-Time offshore staff works 20 hours per week.

Does the offshore staff work for me or for you?

Outsourcing Angel is the employer of your offshore staff but they are assigned to work on your task.

This means that we cover all things from HR, Payroll, disruption and replacement cover and more—so that you don’t have to.

Do the offshore staff speak English?

We only hire highly skilled and proficient English-speaking offshore staff to remove any communication barriers you may encounter with freelancers and other outsourcing providers.

Costs, Billing and Payments

How much does it cost to work with offshore staff?

First, you have to choose which outsourcing package works best for your business:

1. Recruitment-only package (one-time fee)
2. Full Outsourcing Angel Experience (end-to-end outsourcing management)
3. Angel Training Program (upskilling for your offshore staff)

The final price varies depending on whether you decide to hire your offshore staff on a part-time or full-time basis. Please let us know your preference during your FREE Discovery Call with our Outsourcing Specialist.

How do payments work?

When you become an Outsourcing Angel client, a deposit fee is required. Once this deposit has been made, we will start recruiting for your offshore staff.

Once you’ve selected your offshore staff, we will arrange a weekly scheduled payment process with you during our client onboarding process. This payment can be made via Stripe, credit card or direct bank transfer.

When your weekly scheduled payment has been set up successfully, your outsourcing can commence and your payments will be auto-debited on the same day weekly unless otherwise specified.

What if I need extra hours from my offshore staff?

Should you need your offshore staff to work extra hours, their hourly rate will be computed based on your regular monthly fee.

What if I need my offshore staff to work overtime?

To ensure a fair work policy with your offshore staff, if you require them to work overtime outside of their regular working hours, you will be charged:

  • General offshore staff: AUD 16/hour + GST
  • Technical offshore staff: AUD 30/hour + GST

What if I don’t use all my hours? Does it rollover to the next month?

No, full-time or part-time hours with your offshore staff can only be used within the same month unless otherwise specified.

Hiring & Recruiting

How long does the hiring process take?

The hiring process depends on the skill set you require. If you require general offshore staff, it usually takes 1–2 weeks for us to provide a shortlist, whereas technical roles may take longer.

How do I interview candidates?

After we provide you with a shortlist, we’ll arrange a video or audio conference interview for you and the candidate via Skype, Zoom or whichever platform you prefer. Our Recruitment Manager will be present to facilitate this interview.

If you’re not satisfied with any of the shortlisted candidates, we will provide more for you to review.

Can I hire more than one offshore staff member at a time?

Yes, and there is no limit to how many you can hire. Many of our clients hire multiple offshore staff as their needs grow.

What if I’m not happy with my offshore staff?

If you want to change your offshore staff for any reason, please notify us immediately so we can help you find a replacement as quickly as possible.

Your replacement options include:

  • Continue working with your current offshore staff while we find a replacement.
  • Stop work immediately and wait for a replacement (payments will pause and we’ll ensure you are only charged from the day the new offshore staff starts work).
  • Stop work immediately and work with one of our temporary covers while waiting for the replacement.

Working With Your Offshore Staff

Is there a minimum commitment with my Virtual Assistant?

Yes, there is a minimum 3-month commitment. Similar to a probation period in a physical office, it requires at least 3 months of onboarding and training to properly integrate an offshore staff into your company.
If for any reason, you are not happy with your offshore staff, we will find you a more suitable one based on your feedback.

What kind of support do I get?

How do I monitor my offshore staff’s work?

All our offshore staff are required to send you a daily work report. This report contains all tasks they’ve worked on each day and any issues they’ve encountered.

We always encourage our clients to place trust in our offshore staff by measuring performance and metrics rather than a time-tracking tool unless otherwise specified.

What if my offshore staff is sick?

If your offshore staff falls sick during an urgent task, you may request a temporary replacement to cover any work.
You may also request your offshore staff to reschedule the missed work.

What if my offshore staff needs to take leave?

If your offshore staff has worked with you for a minimum of 3 months, they are entitled to 10 days of paid annual leave. Your offshore staff is required to send you an email notice to discuss the schedules of leave at least one week before the paid leave date.

For unpaid leave requests, your offshore staff will be required to propose an advanced work schedule to cover the missed work hours before the leave dates.

What happens during public holidays?

For your country’s public holidays, it’s your decision whether to grant time off. Most clients allow their offshore staff days off around Easter, Christmas and New Year’s Eve.

For holidays in the offshore staff’s country, it is also up to you to give them the days off. They will be required to submit leave requests accordingly.

What happens if there is a work interruption?

In case of internet/power outages or emergencies, the offshore staff is instructed to notify you and our management team immediately.

If they’re working on an urgent task, we will find you a fast replacement to get the work done.

Do I pay for lunch breaks?

  • Part-time staff: No lunch break required.
  • Full-time staff: A 1-hour lunch break is included in their 8-hour shift. This ensures their productivity.

What about confidential business information?

All offshore staff sign confidentiality agreements; they won’t be permitted to share or discuss work-related details with people other than their client and work team.

We also recommend using tools like BitWarden to share login info securely.

Trust is built over time, so we suggest gradual access to sensitive data.

Cancellations & Refunds

How do I cancel my package?

We require 30 days written notice to cancel your outsourcing services.

However, if you’re cancelling during your initial 3-month commitment, the balance of the 3 months must be paid in full.

Referral Program

Do you have a Referral Program?

Yes, we do!

You can earn up to AUD 1,000 per referral through our Referral Program.
