What to expect in your System Audit

The System Audit Session is a key part of our Systemise & Scale Up (S&S) Program. This is where we’ll get to the heart of your current business processes, challenges, and goals.

From there, we’ll build you an automated, digital ecosystem so your business practically runs itself—while you do more of the things you enjoy!

Before your System Audit Session…

First, we’ll have a Discovery Call to get to know each other! We’ll ask you to clarify:

  • Your products and/or services
  • Current business challenges
  • Outcomes you’re hoping to achieve
  • Software and programs you’re currently using

This will give us an initial overview of your business and priorities so we can set the trajectory for the entire project.

Once we’ve got the details down, our S&S Team will book a System Audit Session with you to start systemising your business for success.

How do you prepare for a System Audit Session?

Before we tackle your business challenges head-on, take a moment to reflect on the following:

  • What gives you headaches right now?
  • What tasks do you put off even though you KNOW they’re important?

We also encourage you to bring your colleagues along for this session. The more perspectives and input we have at the table, the better equipped we are to create a tailor-made solution for your business.

What to expect in your System Audit Session

Our main goal is to make your life EASIER. To achieve that, our Customer Success & Automations Manager will facilitate the System Audit Session and aim to:

  • Understand your company departments and interrelationships
  • Review your existing Customer Journey
  • Identify key processes to systemise
  • Scope out automation opportunities

This might sound overwhelming at first, but don’t worry! We’ll facilitate and walk you through the process to ensure that you feel just as empowered to streamline your operations and take your business to the next level.

Here’s a step-by-step of how we’ll guide you throughout the session.

1. Understand your company departments and interrelationships

First, our S&S Team will show you a customised company map based on the initial Client Interview you did with us. It will look similar to this:

We’ll go over the map together and ask for your input on:

  • Your different departments and employees and how they work together
  • The platforms you’re currently using for each department
  • How your products and/or services are managed across different departments
  • How you serve your customers
  • Which areas are holding you back from achieving your goals
  • Which areas are giving you the biggest headaches

At this stage, we must develop a deep understanding of your department interrelationships. This will help us identify automation gaps and opportunities to streamline your workflow and make your life easier. So, don’t hold back! We encourage you to be as detailed as possible.

2. Review your existing Customer Journey

Next, we’ll dissect your end-to-end Customer Journey. Our discussion will revolve around the following points:

  • What recurring tasks you’re doing manually
  • How you currently acquire, onboard and work with your clients
  • How your different departments work together to carry out each stage of the customer journey
  • How your platforms talk to each other
  • How you track, organise and manage client information and projects
  • Whether you have any existing templates, forms or guides

Don’t forget to give us both positive and negative feedback you’ve received from clients! They’re the heart of your business, and their feedback is critical to its success. We’re open to any relevant reviews you feel we should know to enhance your current processes.

3. Identify key processes to systemise

Third, we’ll pinpoint key process areas that are draining most of your energy and time. With your team’s input, we’ll figure out how to make life easier for everyone! 😉

We’ll talk through:

  • Any ongoing issues you’re experiencing
  • Your biggest pain points
  • How you’re currently doing things and why
  • Missed opportunities (e.g following up on leads, standardising proposals/quotes, etc)

  • Bottlenecks impacting the client experience (and how to relieve them)
  • Apps to help streamline your existing key processes and enable scalability

We’ll also identify tasks that would be better managed by a virtual assistant. With someone else handling the time-consuming work, you’ll have more time to focus on the bigger picture.

And take note—we’ll challenge the way you’ve done things before! We’ll bring fresh perspectives to the table, introduce new ideas and strategies, and collaborate with you to develop plans of action that work best for your business.

4. Scope out automation opportunities

Towards the end of the session, we’ll have pinpointed how we can automate your entire business model to free up your valuable time. Plus, we’ll also know:

  • Which processes require our immediate attention

  • What platforms and digital tools to recommend
  • What tasks we should hand over to a VA
  • The total scope of work for our S&S Team
